Elect a chairperson to manage proceedings
Be punctual
Ensure VC equipment is switched on and ready to go
Introductions
Check that sound and vision is clear at each site
Introduce participants and clarify protocols
During
Mute on when not speaking at your site. Mute off when speaking.
Communicate about any issues and ask clarifying questions, when required.
Adjust sound and camera, as required. eg. Pan and zoom to fill the screen.
oPerhaps use Presets to assist a smooth transition. Be aware of how the screen divides up the participants in a multipoint call.
Be attentive - avoid unnecessary distractions - sound or movement
Schedule a break(s) if needed
Closing Include a complimentary closing before hanging up.
